    The Executive Administrative Assistant will provide direct administrative support to the Chief Information Officer and SVP, Information Technology of Pinnacle Foods. This role will interact with the entire IT department and Pinnacle Foods corporate staff to ensure that the CIO’s office functions effectively with Pinnacle’s leadership team and across the company. This role will be responsible for a range of duties related to the daily operations of the IT team.



    Responsibilities include all administrative functions for an executive office and support for the IT department and ERP team as required.  This includes calendar and travel management and preparation of materials for internal meetings.  This role will also be responsible for planning and coordinating functional meetings and events for the IT department.


    Areas of work and supervision include, but are not limited to:

    • Creating correspondence, spreadsheets and visual presentations
    • Compiling documents and information for necessary reports and/or presentation materials.
    • Maintaining departmental filing and tracking systems. Includes establishing files for all written / email correspondence, project work, and reports
    • Maintaining calendar of appointments schedules and organizing meetings, conference calls and appointments, troubleshoot when conflicts arise
    • Preparing items in relation to meetings, including but not limited to, creating and assembling of documents for distribution, coordination of site logistics, food orders, attendance confirmations, and interacting with attendees to address questions or issues related to events
    • Coordinating meetings, travel arrangements including air reservations, scheduling options, hotel reservations, and car rental reservations
    • Develops travel itineraries to correspond with current schedules
    • Supports completion and processing of expense forms for the Chief Information Officer
    • Tracking of vacation for the IT department
    • Interacts with the Administrative Executive Leadership team on cross functional meetings
    • Ensure that any PowerPoint presentation processes are managed efficiently and the deck is ready for presentation and distributed (if applicable) prior to the meetings
    • Maintain departmental and ERP organizational charts
    • Issue agendas and notes for Finance Leadership Team, IT Sr Leadership Team, and ERP Meetings


    ERP PMO Administration

    • Maintain the ERP project SharePoint site
    • Administer the project timesheets for internal and external resources
    • Administer the onboarding of consultants

    • Ability to handle highly confidential materials and information with the highest levels of integrity and respect
    • Ability to communicate effectively with all levels of the organization
    • Ability to operate under pressure and meet tight deadlines
    • Self-motivated, confident, energetic, and poised
    • Ability to be flexible and multi-task



    • Expert proficiency in Microsoft Word, PowerPoint, Excel, SharePoint and Outlook software.
    • Progressive experience supporting one or more senior level executives.



    • 1-3 plus years of experience supporting executives in a fast paced environment or PMO administrative experience



    • Degree preferred but not required
